In recent years, the application of technology in the healthcare sector has brought about positive changes, especially in the implementation of electronic medical records systems.

This model not only helps improve the quality of health care but also helps reduce time and costs, bringing many benefits to patients, doctors, and medical facilities.

Many benefits

Electronic medical records help patients avoid having to carry any documents when going to see a doctor, including diagnostic results, tests or medication lists.

In recent years, the application of technology in the healthcare sector has brought about positive changes, especially in the implementation of electronic medical records systems.

This helps patients not worry about losing test results or having difficulty reading the doctor's handwriting. Furthermore, electronic medical records also help patients easily monitor and compare test results and periodic health check-up results.

Combined with electronic health records, electronic medical records facilitate patients in self-managing their health information throughout their lives, from family history, medical conditions to drug allergies. This helps patients be proactive in disease prevention and personal health care.

At Bach Mai Hospital, the electronic medical record system has been deployed since November 2024. Patients and doctors are satisfied with the convenience and speed that this system brings.

Accordingly, patients only need to scan their ID card code, basic personal information and medical history will be displayed, quickly classified, and convenient for examination.

Before entering the hospital, some people had mentally determined that they would have to wait, that the medical examination and treatment procedures would take a long time, even all day, but the reality was beyond expectations. Everything was very fast and convenient, only about 2 hours from the procedure to the instructions for testing and imaging procedures, and finally the final results. Almost all stages were done through digital technology.

Pay at the clinic, no need to travel everywhere to pay. After the procedure, return to the clinic and the doctors can read the results on the machine. Minimize travel and lost documents.

Taking care of a relative receiving inpatient treatment at the A9 Emergency Center, Bach Mai Hospital, a resident in Quang Ninh also expressed satisfaction with the experience of electronic medical records.

According to him, all procedures as well as indications, treatment regimens, and prescriptions can be confirmed and viewed on a tablet or personal phone. At first, I was confused, but after being guided by doctors and nurses, I found it easy to use and quite convenient. Not only me, but my children can also view and monitor my mother's treatment process.

The electronic medical record system not only helps doctors quickly access patient information but also enhances communication and interaction between departments in the hospital.

This creates a conducive working environment, reduces waiting times and reduces duplication in tests, making diagnosis and treatment more accurate and timely.

Associate Professor, Dr. Nguyen Anh Tuan, Director of A9 Emergency Center, Bach Mai Hospital, said that with the application of digital transformation, electronic medical records, and administrative procedures do not take much time, doctors can quickly examine.

All orders are made on the software. After the order is completed, the relevant departments receive the information, the patient only needs to move to the designated locations to be deployed. The results returned to A9 are also very fast, even before the patient returns to the clinic.

When a patient is scanned, we immediately receive the image on the Center's computer and can make a diagnosis. With difficult cases, we can immediately discuss and consult with multiple departments, promptly handling pathological situations that are racing against time.

If the patient needs to be transferred to the treatment department, they can be immediately received with full information by simply operating the software, instead of having to wait for hundreds of pages of paper medical records to be transferred.

It can be said that the digital transformation and electronic medical records at Bach Mai Hospital have been comprehensively applied from the stages of receiving, exploiting medical history information, triage to appointment for examination, performing indications, reading results, processing, treating diseases, payment and procedures for admission, discharge and transfer to hospital.

At Hoe Nhai General Hospital, the implementation of electronic medical records has helped the hospital save significant time and costs. Dr. Ly Viet Hai, Head of the Department of Intensive Care and Anti-Poison, said that the application of electronic medical records helps us easily access test results and diagnostic images without having to print films or documents. This significantly reduces waiting time and errors.

According to Dr. Nguyen Thi Huyen Nga, Head of the Pediatrics Department, with electronic medical records, doctors can quickly find patient information and update new data. This saves time for both doctors and patients, while minimizing medical errors.

Accelerate implementation at medical facilities

Electronic medical records bring many benefits to medical facilities. Storing medical records in digital form helps save storage space and costs of maintaining paper records.

Electronic medical records are an important step forward in healthcare reform and digital transformation in Vietnam. This system not only helps save time and costs, but also improves the quality of diagnosis and treatment, creating convenience for patients and doctors.

When widely and synchronously deployed, electronic medical records will help the Vietnamese healthcare sector become more professional, save resources and contribute to the sustainable development of the national healthcare system.

Vietnam has about 1,300 medical examination and treatment facilities, of which about 135 are grade I hospitals or higher. However, the speed of conversion from paper medical records and files to electronic data in hospitals is still slow.

Regarding electronic medical records, according to Circular 46/2018, the Ministry of Health requires that hospitals of grade I and above must implement electronic medical records by the end of 2023. From 2024-2028, the Ministry of Health requires all medical examination and treatment facilities to implement electronic medical records.

According to an expert, the implementation of electronic medical records is currently facing many difficulties in terms of both finance and implementation guidance. Currently, hospitals have deployed hospital management information systems such as patient management HIS software, social insurance interconnection software, etc.

However, to deploy electronic medical records, many other softwares are needed, such as software to connect diagnostic imaging results, blood test results, etc.

To speed up the implementation of electronic medical records, Minister of Health Dao Hong Lan recently signed and issued an official dispatch on promoting digital transformation and implementing Project 06 at agencies and units in the health sector.

According to the direction of Minister Dao Hong Lan, digital transformation is a political task. The entire sector must promote cashless payment for health services; continue to fully implement the contents of Directive No. 12/2019 of the Minister of Health on promoting the implementation of cashless payment for health services.

In addition, agencies and units in the medical sector must prioritize funding for information technology application and digital transformation activities;

At the same time, allocate at least 1% of the budget of agencies and units to spend on information technology application according to Directive No. 02/2009 of the Minister of Health on promoting the application and development of information technology in the health sector.

For medical examination and treatment facilities, the head of the health sector requires urgent implementation of electronic medical records without using paper medical records as prescribed in Circular No. 46/2018 of the Ministry of Health; implementation of telemedicine as prescribed in Circular No. 49/2017; implementation of electronic prescriptions according to issued instructions.

In addition, it is necessary to deploy online appointment scheduling for medical examination and treatment; focus on solutions to support people and patients, using chip-embedded citizen identification cards, biometric identification when registering and during medical examination and treatment.

The implementation of electronic medical records software will bring great benefits to the management agency and directors in hospital management. At the same time, it will help people access services quickly, reduce administrative procedures, improve the quality of medical services and the quality of medical examination and treatment.
