Electronic transcripts are digitized and stored on an online system, with electronic authentication from the competent authority, allowing teachers to enter scores and comment on students anywhere with just an Internet-connected device. As one of the first schools in Lao Cai province to apply electronic transcripts, Bac Cuong Primary School, Lao Cai city is currently storing more than 1,800 digital transcripts through Viettel's SMAS software.

According to Ms. Tran Thi Minh Chung, Principal of the school, the application of electronic transcripts not only helps reduce the pressure of bookkeeping for teachers but also ensures transparency and accuracy in score management. One of the outstanding advantages of the system is the ability to check and monitor score entry, helping to limit negativity and errors in student assessment. If there is a mistake in entering scores or comments, teachers can easily edit without having to erase or replace as when using paper transcripts. In addition, the system also automatically calculates the average score of the semester and school year, helping teachers reduce the amount of manual calculation work and limit errors.

The 2024-2025 school year is the second year that Lao Chai Primary School, Sa Pa town, has used electronic transcripts to manage student records. Ms. Ngo Thi Hoai, a teacher at the school, shared that in the past, teachers spent a lot of time manually entering scores and writing comments for students on paper transcripts. Just a little carelessness could cause errors, affecting student records. However, since applying electronic transcripts, this work has become much more convenient and accurate. Teachers do not need to record duplicate information between school years, the system automatically synthesizes and stores data. When entering scores, the software will automatically calculate the average score, avoiding errors due to manual calculation. In particular, the approval and signing process has also become simpler when it can be done for the whole class with just one operation, helping to save a lot of time.
Ms. Duong Thi Oanh, Principal of Lao Chai Primary School, affirmed that not only teachers but also digital report cards help schools to conveniently manage, save time, printing costs, manage books, conveniently store, preserve, and increase professionalism. In order for the implementation of digital report cards to be effective from the beginning, the school has organized training and guided teachers on how to operate each specific step.

According to the report, 593/593 schools in the province have used VNEDU school management software provided by VNPT Lao Cai and SMAS software provided by Viettel to manage and digitize information about schools, classes, students, staff, facilities, etc.; manage electronic records of students and teachers. 100% of primary, secondary and high schools have implemented digital records (also known as digital records); for schools, there are student transcripts, student monitoring and evaluation books by class, and registration books; for teachers, there are student monitoring and evaluation books. The provincial education sector also encourages schools to implement management of all types of records on the school management platform, such as lesson registration books, homeroom books for teachers working as homeroom teachers, lesson plans and lesson plans; providing communication and exchange services between schools and parents... Primary schools are piloting digital report cards according to the instructions of the Ministry of Education and Training. Most managers and teachers at primary education institutions in the province have mastered the process of entering information, evaluating and commenting on students in electronic contact books, digital report cards on the Vietnamese education management software and electronic contact books. Every month, teachers update information and send comments on students' learning and training. Parents can access the software to know, thereby coordinating with schools and teachers to manage and educate their children in a timely manner.

In addition, the Department of Education and Training regularly updates information, inspects, supervises, and provides professional advice and support to education and training departments and primary schools in the process of implementing digital records, including digital report cards; organizes specialized inspections on the management and use of digital records and report cards, digital conversion at the primary level, or integrates content into periodic tests according to the plan for implementing annual primary school tasks.

Initial results show that electronic transcripts are an optimal solution, not only helping teachers reduce their workload but also helping schools manage data more scientifically and transparently. Although there are still some challenges in the implementation process, with the consensus of teachers, support from the education sector and cooperation from parents, electronic transcripts promise to become an inevitable trend in modern educational management.
