Quang Nam promotes document digitization to serve organizational restructuring

The Provincial People's Committee requests the People's Committees at district and commune levels to prioritize local resources to urgently digitize archival documents of district-level agencies and organizations before they end their operations and at commune levels before they are reorganized.

In particular, focusing on digitizing documents that have been fully edited, documents that are serving management and operation activities and the needs of people, agencies and organizations. After digitization, files and documents will be updated to the province's Electronic Archives.

Departments and branches review and select documents that have been completely edited and have high usage value; create a list of records and documents that need to be digitized and send them to the Department of Home Affairs for appraisal.

At the same time, be responsible for the results of the digital review of existing records and documents of the unit to ensure that the budget estimate is not duplicated, the budget is arranged appropriately, and the regulations are met. Records and documents after digitization are updated to the province's Electronic Archive.

The Provincial People's Committee assigned the Department of Science and Technology to direct the Information Technology - Communications Center to organize the operation of the province's shared electronic archive system to ensure stability, smoothness, and meet the requirements of digitization and management of digitized archives.

Guide agencies, units, and localities to integrate records and documents into the system (Shared Archive) of the province. Ensure network information security, protect and secure digital data according to regulations.
